£22.00 Per Hour Full-Time

We have an urgent need for 2 x Technical Support Officers. This is a temporary role for a minimum of 3 months (with potential to be extended) paying £17ph PAYE / £22.33ph Umbrella.

We would expect who ever to be committed to being trained within the office based in Guildford but going forward the client is happy for two days a week in the office and 3 remote / working from home.

Key responsibilities
1. To provide a flexible, specialist administrative function to support the Housing
Maintenance Team
2. Effectively deal with and respond to repair enquiries from a cross section of internal officers including Customer Services, Landlord Services, and liaise with appropriate technical and housing staff as required to deliver resolution.
3. Support the Cyclical 5 year external decoration and repair contract in relation to contract administration including property data uploads.
4. Provide an efficient administrative support service to all Building Maintenance staff.Including: –

(a) Monitoring job progress in all aspects of the day-to-day repairs, including defaults and inspections.
(b) Monitoring the effective performance of the housing maintenance function in relation to Key Performance Indicators (KPIs)
(c) Maintaining databases, spreadsheets and electronic filing
(d) Raising orders on Orchard Housing System – Adding high volumes of repair jobs / cyclical works to Orchard passed over by RATS, Surveyors team and the depot.

(e) Door Entry systems – Administer the New door entry systems in place across number of blocks , including managing the process of setting up new key fob access.
(f) Assisting to manage and monitor the delivery of void property to ensure efficient reporting turnaround and KPIs, providing statistical information for the letting process.
(g) Supporting ream with day to day administration and correspondence including letters and reports including bulk mailings
(h) Occasionally raising orders as requested on the housing Orchard repairs system and the company procurement system Business World.
(i) Completion of Right To Buy (RTB) and leasehold returns accessing accurate property information and submission to Legal
(j) Reviewing compliance inspection reports in relation to communal areas within blocks of flats – raising orders to ensure urgent works such as fire risk or general health & safety are addressed and ensuring facilities management issues are rectified
(k) Gas Servicing – Liaise with external heating contractors and surveyors to ensure all CP12’s are in date and compliant with Gas Safety Regulations. Manage/ update daily, the referrals from external heating contractors to a spreadsheet with all access attempt dates for each property, contact the tenant by phone, text or email, to arrange the annual gas service appointment. It can involve tracing NOK, or support workers if all other attempts are exhausted. Issue final warning and breach of tenancy letters at specific dates and request signed for when delivered. All access attempts must be recorded accurately with copies of any letters sent, as evidence for the Housing Specialist to attend court to ask for an order be granted for forced entry to gain access.
(l) Take Mminutes for Contractor meetings –
a. TSG and K&T , Pyrotec (fire) currently once a month .
b. SMS Legionella public buildings – JB manages not sure if or when he has
meetings
c. Corrigenda public building heating – JB manages not sure if or when he has
meetings
(m) Disrepair claims – collating data from Orchard and file360 to back up evidence dis-repair claims.
(n) PIV Aico systems installed – managing process for receiving alerts and amanging outputs into actions.
(o) Asbestos Surveys – raising orders completing orders when survey received then making sure filed in the correct area ready to be uploaded to Keystone.
(p) Updating ICT systems with job/property history and financial information to aid the production of performance report, for Fire Certificates, EICR Certificates Legionella Certificates Asbestos certificates and any other documents.

5. The postholder will also provide support when required to the other teams within Technical Services, specifically -Compliance and Building Safety (includes M&E asset data management), Surveying and Civil engineering, Leasehold and RTB and Facilities (housing).
