Receptionist (with Admin and Scheduler duties) South East London
£32,907-£34,359 per annum, pro rata
6-month fixed-term contract
Full-time, office-based: 8:00am-4:00pm or 9:00am-5:00pm
We are recruiting an organised and customer-focused Receptionist to join the Property Services team of a resident-managed housing organisation in South East London. This is a varied, hands-on position combining reception, repairs administration and the scheduling of work for an in-house repairs team and external contractors.
You will be the first point of contact for residents and visitors while helping to keep responsive repairs, communal works, void works and compliance activity moving efficiently. The role calls for someone who communicates confidently, keeps meticulous records and remains composed when priorities change.
The role Working closely with residents, surveyors, tradespeople, contractors and internal colleagues, you will log repair requests, arrange appointments and allocate work within agreed priority timescales.
You will record detailed information so repairs can be completed on the first visit wherever possible. You will also monitor progress, coordinate follow-on work and access arrangements, and ensure that internal systems are updated accurately and promptly.
Your responsibilities will include:
- Providing professional reception cover and acting as a first point of contact for residents and visitors
- Logging, tracking and managing repair requests, including damp and mould cases
- Planning and allocating work to in-house operatives and external contractors
- Optimising operatives’ diaries and reprioritising work when circumstances change
- Coordinating appointments between residents, surveyors and contractors
- Raising repair and compliance orders using the appropriate information and codes
- Monitoring works against agreed timescales and following up outstanding actions
- Maintaining Excel trackers, communication records, photographs, reports and other documentation
- Supporting invoice administration and monitoring shared mailboxes
- Managing follow-on works, materials requests, access arrangements and post-inspections
- Assisting with performance information, statistics and KPIs
- Responding professionally to enquiries and helping resolve complaints
About you You will have experience in a reception, front-of-house or customer-facing environment, together with proven administrative experience. Experience gained in housing, property services, repairs or maintenance would be especially valuable.
You should also be able to demonstrate:
- Experience using systems and trackers to manage a busy workload
- Strong organisational skills and excellent attention to detail
- Confidence scheduling work and managing appointments or diaries
- Proficiency in Microsoft Excel and general office software
- Clear written and verbal communication
- The ability to engage professionally with residents, contractors and internal teams
- The resilience to work under pressure and manage competing priorities
- A collaborative, methodical and service-focused approach
- An understanding of repairs, maintenance and compliance processes
Knowledge of housing disrepair, Awaab’s Law, schedule of rates codes or typical repair timescales would be advantageous.
This is a fully office-based role in South East London. The successful candidate must be available to work full-time, either 8:00am-4:00pm or 9:00am-5:00pm.
